Refund & Cancellation Policy
Refund & Cancellation Policy.
1. Overview
This Refund & Cancellation Policy applies to MySpiritualSoul retreat bookings. Please read it together with the Retreat Terms and any retreat-specific payment schedule before making payment.
It distinguishes participant cancellation or withdrawal, cancellation by MySpiritualSoul because of circumstances on the organisers’ side, and events outside our reasonable control. All arrangements remain subject to applicable law and your statutory rights.
2. Participant Cancellation or Withdrawal
Where a participant cancels or withdraws, amounts may be retained to the extent permitted by applicable law and having regard to costs and losses already incurred or committed that cannot reasonably be recovered or mitigated.
Illness, injury, changes in personal circumstances, relationship circumstances, work commitments, visa difficulties, missed or cancelled flights and other personal reasons for being unable to attend should normally be addressed through the participant’s own comprehensive travel insurance.
Any request for cancellation will still be handled under this Refund & Cancellation Policy and applicable law.
3. Deposits and Advance Payments
Retreat deposits and payments are intended to secure limited accommodation, programme capacity, facilitators, catering, transfers, cultural experiences and other advance arrangements.
If you choose to cancel or withdraw from the retreat, deposits and retreat payments are non-refundable to the extent permitted by applicable law. Where applicable, any amount retained will reflect costs and losses already incurred or committed in connection with your place and which cannot reasonably be recovered or mitigated.
4. Payment Plans
A payment plan is a facility for paying the agreed retreat investment over time. It does not create a separate right to cancel.
If a participant withdraws before completing their payment plan, the amount properly payable or retained will be determined in accordance with this Refund & Cancellation Policy, applicable law, the losses reasonably incurred as a result of the cancellation, and any losses that can reasonably be mitigated.
5. Transfer of a Retreat Place
Where reasonably possible, MySpiritualSoul may allow a participant to request that their retreat place be transferred to another suitable person, subject to application approval, sufficient notice, accommodation arrangements and any costs already committed in the original participant’s name.
Transfers are not guaranteed and must be approved by MySpiritualSoul in writing before the replacement participant makes travel arrangements.
6. Cancellation by MySpiritualSoul
If MySpiritualSoul cancels a retreat because circumstances on the organisers’ side prevent the retreat from proceeding, all retreat payments made directly to MySpiritualSoul for that retreat will be refunded.
MySpiritualSoul is not responsible for separately booked flights, visas, insurance, additional accommodation or other third-party travel costs, except where applicable law requires otherwise. Participants should claim those costs through their own travel insurer where appropriate.
7. Events Outside Our Reasonable Control
Occasionally, circumstances outside the reasonable control of MySpiritualSoul may materially affect a retreat. These may include severe weather, natural disaster, government restrictions, civil disturbance, transport disruption, venue closure, serious illness affecting essential personnel or other extraordinary events.
Where reasonably possible, MySpiritualSoul may first seek to protect the retreat by changing a supplier, activity, facilitator, venue, timetable or other element without materially reducing the overall retreat experience.
If an extraordinary circumstance makes the retreat impossible to operate, participants will be informed as soon as reasonably practicable. Any refund, credit, postponement or other remedy will be handled in accordance with applicable law and the circumstances of the cancellation.
Nothing in this policy removes or limits any statutory rights that cannot legally be excluded.
8. Changes to Venue, Programme or Suppliers
The published retreat programme represents the intended experience. Individual activities, timings, practitioners, excursions, accommodation arrangements or suppliers may occasionally need to change for operational, safety, cultural, weather or availability reasons.
MySpiritualSoul may make reasonable substitutions where necessary while seeking to preserve the character, quality and overall purpose of the retreat.
A minor change to an itinerary or supplier does not automatically constitute cancellation of the retreat.
If a proposed change materially alters the core retreat contracted for, participants will be informed and any applicable consumer rights will be respected.
9. Flights, Visas and Independent Travel Costs
Unless expressly stated otherwise, international flights are not included in the retreat investment.
Participants are responsible for passports, visas, entry requirements, travel insurance and any independently booked flights, hotels or other travel arrangements.
MySpiritualSoul strongly recommends that participants do not make non-refundable independent travel arrangements without appropriate insurance.
Where MySpiritualSoul refunds the retreat investment following organiser cancellation, this does not automatically include reimbursement of separately booked flights, visas, additional accommodation or other third-party expenses, except where applicable law requires otherwise.
10. Travel Insurance
Travel insurance is strongly recommended
Participants are strongly advised to purchase comprehensive travel insurance as soon as their retreat place is confirmed.
Appropriate cover should be considered for:
- participant cancellation
- illness and medical emergencies
- pre-existing medical conditions where applicable
- flight cancellation or delay
- missed departure
- baggage
- travel disruption
- natural disasters or severe weather
- emergency repatriation
- activities undertaken during the retreat
Participants are responsible for checking that their chosen policy provides cover appropriate to their circumstances and destination.
11. Third-Party Finance and Payment Providers
If a participant chooses to pay using Klarna, PayPal Credit, another finance provider or any third-party instalment or credit arrangement, that agreement is between the participant and the relevant provider.
Any interest, fees, repayment obligations, credit terms or charges imposed by that provider are governed by the participant’s agreement with them.
A refund due from MySpiritualSoul will normally be returned through the original payment route where reasonably possible. The participant remains responsible for checking how any refund affects their separate finance or credit agreement.
MySpiritualSoul is not responsible for interest, finance charges or other fees charged independently by third-party payment providers, except where applicable law requires otherwise.
12. How to Request a Cancellation
All cancellation or withdrawal requests must be made in writing to hello@manjindersidhu.co.uk. The date the written request is received will be treated as the cancellation date.
13. Statutory Rights
Your statutory rights
Nothing in this Refund & Cancellation Policy is intended to exclude, restrict or override any consumer rights that cannot lawfully be excluded under applicable law.
Where any provision of this policy conflicts with a mandatory legal right, that legal right will take precedence.
